Touchless Invoice Processing Rate Increases by 5x with Digital Worker
TL;DR
Touchless processing increased by 5x in weeks. A global manufacturer now handles nine in ten supplier invoices without a person touching them.
It learned on the job. The Digital Worker didn't arrive knowing every exception. The Accounts Payable team taught it, like they would with a new hire.
The rate drove everything else. A third of the cost per invoice, no contractors, more than half the team's capacity back and a smaller software bill. Finance also gets faster visibility on spend and higher quality audit reports.
The number that matters
In accounts payable, one number tells you whether automation is working: the share of invoices that go from inbox to ERP without anyone touching them. Every invoice that falls short of that costs time, money and attention.
For one global manufacturer, that number went up 5x.
Where it started
Nobody buys an accounts payable tool expecting to turn it off. This team did.
A corporate restructuring split the group into new legal entities, and the AP tool's matching could not keep up. The touchless rate collapsed. After repeated errors, finance switched auto-processing off altogether.
From that point, every invoice was checked by hand. Contractors were brought in just to keep payments moving. The company was paying twice: once for a premium tool that no longer did its job, and again for the people doing it instead.
How the rate moved
The obvious fix was a new platform and a painful migration. We left the stack alone and put our Invoice Processing Digital Worker on top of it. It is platform agnostic, so it works with whatever AP tool, ERP and inbox are already there.
Capture tools read an invoice, match it on fields and flag anything that doesn't fit. That clears the easy invoices, which were never the expensive part. The Digital Worker treats the mismatch as the work.
It reads every invoice the way a sharp AP analyst would. Right purchase order? Right receipt? Right legal entity? It fixes capture errors, and it catches duplicates and price mismatches before money leaves the business.
When an invoice doesn't match its purchase order, it investigates. The reason is rarely in the ERP. It sits in an email: a late change to the order, a supplier confirmation, a buyer's sign-off. The Digital Worker works across the intake system, the ERP and the inbox to find it, then checks its own reasoning. Does the arithmetic tie out? Does the email it relied on actually authorise the change? Did the approval come from someone allowed to give it?
Clean invoices post. Everything else reaches the team as a recommended resolution with the evidence attached, so a reviewer makes a decision instead of starting a research task.
A high touchless rate is only worth having if it is right. Every field carries a confidence score, and nothing posts until it clears dozens of checks, entity rules included. The team can stop, redirect or guide the Digital Worker at any point, and every decision sits in a full audit trail.
What a 5x rate buys you
The economics flipped. Each invoice now costs a third of what it did. The contractors are gone. More than half of the permanent team's capacity is back, so volume can scale without headcount scaling with it.
Then the software. With the Digital Worker doing the checking, the premium AP tool had to justify its price. It couldn't. The team moved to a leaner platform that integrates with the ERP and more than halved the software bill.
Add it all up and the annual value runs to seven figures.
Continuously Improving
The 5x did not arrive on day one, and nobody expected it to.
Every AP team runs on business logic that lives in people's heads: if this supplier, then that entity; if this mismatch, then that fix. Most of it is written down nowhere. At go-live the Digital Worker handled the clear cases and sent the ambiguous ones to the team's subject matter experts.
Each time an expert made a call, approved a resolution or said "we handle that differently here", the Digital Worker captured it and applied it on the next run. Within weeks it had absorbed exceptions and data quirks the team had built up over years. That is how a good new hire becomes your best colleague, and it is how Digital Workers continuouly learn.
The difference is that it never forgets. Every correction sharpens the checks, so the touchless rate keeps rising with use. Supplier query responses are next.
Most automation plateaus. This one keeps climbing.
